These Terms and Conditions (“Terms”) apply to the purchase and use of tickets for the Infoxchange Technology for Social Justice Conference (the “Event”). By registering, purchasing a ticket, or attending (in person or virtually), you agree to these Terms.
These Terms are designed to reflect Australian legal standards and regulator guidance, including the Australian Competition and Consumer Commission, Office of the Australian Information Commissioner, Australian Taxation Office, and Australian Government Solicitor. [ACCC/OAIC/ATO/AGS]
Definitions
1.1 Infoxchange / we / us / our
means Infoxchange (ABN 74 457 506 140).
1.2 Attendee / you / your
means the individual who is registered to attend the Event (in person and/or virtually). If you purchase on behalf of an Attendee, you must ensure the Attendee complies with these Terms.
1.3 Event
means the Infoxchange Technology for Social Justice Conference, including sessions, workshops, networking functions, expo areas, and the virtual component.
1.4 Ticket
means a paid or complimentary registration credential (including sponsor/exhibitor passes) that provides access to the Event (in person, virtually, or both).
1.5 Platform
means the virtual event and/or streaming platform used to deliver the virtual component of the Event. Platform provider: EventsAir
1.6 Event Start Date
means the date the first scheduled Event session begins in local time for Victoria, Australia. Event Start Date: 06/05/2026
1.7 Refund Cut-off Date
means 45 calendar days before the Event Start Date.
1.8 Business Day
means Monday to Friday excluding public holidays in Victoria.
1.9 Major Change
includes (without limitation) cancellation of the Event, rescheduling the Event to different dates, moving the in-person component to a different city, or changing the Event to virtual-only delivery (where the Ticket was marketed or sold as including in-person attendance).
Registration and Tickets
2.1 Contract formation.
You accept these Terms when you complete registration and click “Agree” (or equivalent) during checkout/registration.
2.2 Ticket is personal and non-transferable.
Tickets are not transferable and may not be assigned, resold, or shared. No substitutions are permitted. This includes sponsor/exhibitor passes. (If a court or law requires a transfer right in a specific circumstance, this clause applies only to the extent permitted by law.)
2.3 No minors.
The Event is intended for adults. Attendees under 18 are not permitted unless Infoxchange provides written approval in advance. Approval contact: conference@infoxchange.org.
2.4 Accurate details.
You must provide accurate registration details (including a valid email address) and keep them updated. We may refuse entry or disable Platform access if we reasonably believe a Ticket is being misused.
2.5 Sponsor/exhibitor tickets and agreements.
If your Ticket is issued under a sponsorship or exhibitor package, any sponsorship/exhibitor agreement prevails to the extent of inconsistency for commercial deliverables (e.g., booths, branding, inclusions). These Terms continue to apply to Event attendance, conduct, access, and safety.
2.6 Code of Conduct and enforcement.
You must comply with the Event Code of Conduct (Annexure A) and follow reasonable directions of Event staff and venue/security staff. We may refuse entry to, or remove, any Attendee (in person or virtually) for Code of Conduct breaches, safety risks, or unlawful/disruptive behavior. No refund will be provided in those circumstances except as required by law.
Payment and Tax Invoices
3.1 Payment required at registration.
Payment is due at the time of registration unless we agree otherwise in writing (e.g., invoiced sponsor arrangements).
3.2 Confirmation.
We will email registration confirmation and proof of purchase to your nominated email address.
3.3 Tax invoices.
A Tax Invoice will be emailed to you on completion of your registration.
Refunds, Cancellations, and Event Changes
4.1 Attendee cancellations - strict 45-day window (change-of-mind).
If you cancel and we receive your written cancellation request on or before the Refund Cut-off Date, you may receive a refund of the Ticket price less a $50 AUD administration fee per Ticket.
4.2 No Attendee refunds within 45 days.
If we receive your cancellation request after the Refund Cut-off Date, no refund will be provided for Attendee-initiated cancellation except as required by law, including any non-excludable rights under the Australian Consumer Law. [ACCC]
4.3 How to cancel (writing required).
All refund requests must be made in writing to: conference@infoxchange.org
4.4 Refund processing method and timing.
Approved refunds are processed to the original payment method within 14 Business Days after approval (subject to bank/payment provider processing times).
4.5 Travel and accommodation are your responsibility.
You are responsible for canceling and paying for your own travel and accommodation arrangements. (See also section 7.4 for accommodation booked via registration.)
4.6 Organiser cancellation and Major Change.
If we cancel the Event or make a Major Change, you may be entitled to a refund or other remedy under Australian Consumer Law depending on the circumstances. Where we cancel the Event (and do not deliver it in an alternative format), we will refund the Ticket price paid to us.
4.7 Reschedule/postponement.
If we reschedule the Event, your Ticket will remain valid for the rescheduled dates. If you cannot attend the rescheduled Event, you may request a refund by writing to conference@infoxchange.org within 14 days of our reschedule notice, subject to Australian Consumer Law.
4.8 Program and speaker changes.
We may make reasonable changes to the program, timings, session formats, speakers, and venue logistics. Not all changes are Major Changes.
Hybrid Delivery and Virtual Access
5.1 Hybrid format.
The Event is delivered as a hybrid event with in-person and virtual components. Some sessions may be in-person only, virtual only, or available in both formats.
5.2 Platform access credentials are personal.
Virtual access credentials (links, logins, codes) are personal to the registered Attendee and must not be shared. We may disable access if we reasonably detect sharing or misuse.
5.3 Attendee technical responsibilities.
You are responsible for your device, software, and internet connection needed to access the Platform. We are not responsible for failures caused by your equipment, connectivity, or third-party services outside our reasonable control.
5.4 Technical issues and service delivery.
We will use reasonable care and skill to deliver the virtual component and to respond to Platform issues within our control. Nothing in these Terms limits your rights to remedies where consumer guarantees apply and have not been met.
5.5 Recording availability.
Session recording availability (if any) is subject to speaker permissions, content rights, and operational constraints. If recordings are provided, they may be time-limited and access-controlled.
Privacy, Accessibility, Photography, Recording, and Sponsor Marketing
6.1 Privacy compliance and privacy policy.
We collect, use, and disclose personal information for Event administration and delivery in line with our privacy practices and published privacy policy: Privacy policy link
6.2 Minimum necessary collection.
We will only collect personal information that is reasonably necessary for Event functions and activities.
6.3 No medical condition disclosure requirement.
Attendees are not required to disclose pre-existing physical or mental medical conditions as a condition of attending.
6.4 Accessibility and dietary requests.
If you want us to consider reasonable accessibility or dietary accommodations, you may tell us during registration or by emailing conference@infoxchange.org as early as possible. If you choose to provide health information for accessibility purposes, it may be treated as sensitive information and generally requires consent to collect/handle.
6.5 Photography and recording by Infoxchange.
The Event (in person and virtually) may be photographed, live-streamed, and/or recorded. By attending, you consent to being captured and to our use of your image/voice for Event-related purposes (including post-Event materials), unless you opt out as set out below.
6.6 Opt-out process for recording/photography.
To opt out, you must email conference@infoxchange.org before the Event Start Date (or as early as possible). We will use reasonable efforts to accommodate opt-outs, but we cannot guarantee you will not appear incidentally (e.g., in background footage).
6.7 Attendee recording restrictions.
You must not record, screen-capture, photograph (where prohibited), or rebroadcast Event content without our prior written permission.
6.8 No provision of delegate lists.
We do not provide delegate lists to sponsors/exhibitors. We may send marketing materials to delegates on behalf of sponsors/exhibitors to attendees. Sponsors/exhibitors who obtain delegate lists and send marketing materials to delegates without express permission may not be considered for involvement in subsequent conference opportunities.
6.9 Direct interactions with sponsors/exhibitors.
If you voluntarily provide your details directly to a sponsor/exhibitor (e.g. by scanning a badge/QR code or entering a competition), that sponsor/exhibitor will handle your personal information under its own privacy practices.
Liability, Insurance, Force Majeure, Disputes, and General
7.1 Consumer Law rights preserved.
Nothing in these Terms excludes, restricts, or modifies any right or remedy you may have under Australian Consumer Law that cannot be excluded.
7.2 Limitation of liability (cap).
To the extent permitted by law, our total aggregate liability to you arising out of or in connection with the Event or these Terms is limited to the amount you paid to us for your Ticket.
7.3 Excluded losses.
To the extent permitted by law, we are not liable for indirect or consequential loss, loss of profit, loss of opportunity, or business interruption arising from the Event.
7.4 Third-party services and accommodation bookings.
We are not responsible for third-party services outside our reasonable control (including hotels, airlines, venues, or Platform providers). If accommodation is booked via registration, it is subject to the hotel’s terms and cancellation policy, and you are responsible for any hotel charges incurred.
7.5 Travel insurance and property.
We recommend you obtain appropriate travel insurance (including domestic travel) and insurance for personal property. Your baggage and personal effects remain your responsibility.
7.6 Force majeure.
A Force Majeure Event means an event beyond our reasonable control that delays or prevents performance, including natural disasters, war/terrorism, national emergency, epidemic/pandemic, government action, or industrial action outside our workforce. If a Force Majeure Event occurs, we may (acting reasonably) change the Event format (including moving to virtual-only), postpone, reschedule, or cancel the Event, and we will notify attendees as soon as practicable. Force majeure operates only as set out in the contract terms.
7.7 Disputes.
If a dispute arises, the parties will first attempt to resolve it in good faith by negotiation. If not resolved within 14 days, either party may require mediation in Melbourne, Victoria with a mediator agreed by the parties (or, failing agreement, appointed by a dispute resolution body). Court proceedings may then be commenced. These Terms are governed by the laws of Victoria, Australia, and the courts of Victoria have jurisdiction.
7.8 Notices.
We will communicate with you primarily by email. You must keep your email current. Formal notices from you (including cancellations, opt-outs, and complaints) must be sent to conference@infoxchange.org.
7.9 Assignment.
You may not assign any rights under these Terms. We may assign or subcontract administrative functions to service providers to deliver the Event.
7.10 Entire agreement and severability.
These Terms are the entire agreement for Ticket purchase and Event attendance. If any term is invalid or unenforceable, it will be read down or severed to the minimum extent necessary, and the remainder will continue in effect.

Annexure A — Event Code of Conduct
Attendees must: be respectful and professional; not harass, bully, discriminate, or intimidate; follow venue and staff directions; not disrupt sessions; comply with recording restrictions; and report concerns to Event staff. Breaches may result in removal under clause 2.6 (without refund except as required by law).
